Campaign Terms & Policies

These policies explain how Contact Form Marketing campaigns operated by ZAR Advertising are accepted, prepared, executed, tracked and completed.

Please review these policies before proceeding with an accepted campaign.

Clear Terms for a Managed Outreach Process

These policies describe the operational terms under which Contact Form Marketing campaigns are provided. They are intended to make the campaign process clear for both the customer and ZAR Advertising.

These policies should be read together with the applicable campaign scope, selected plan, agreed targeting requirements and any campaign-specific arrangements confirmed by ZAR Advertising.

Submitting a campaign request does not constitute campaign acceptance, payment or the start of campaign execution.

Campaign Acceptance

Reviewed Before Payment

A Campaign Request is reviewed before the Customer decides whether to proceed. Acceptance may provision Customer account access, but does not itself create or start a Campaign. Payment and onboarding occur before Campaign preparation.

Prospect Review

Review Before Deeper Preparation

Customers receive a Campaign-specific Prospect Review period before deeper enrichment and message preparation. The standard duration is currently 48 hours, but the actual Campaign deadline shown in the Customer Portal applies.

Targeting Lock

Major Changes Stop at Execution

Campaigns follow the agreed targeting requirements. Major targeting changes are not permitted once execution begins.

Campaign Pause

Up to 14 Calendar Days

A temporary campaign pause of up to 14 calendar days may be requested, subject to operational feasibility.

Successful Submissions

Successful Submissions — Not Attempts

Only successful submissions supported by the required campaign record and proof count. Skipped prospects do not count.

Refunds & Results

Clear Delivery Rules

Undelivered purchased volume is handled pro rata where applicable. Replies, leads, meetings, customers, sales and revenue are not guaranteed.

Important Campaign Restriction

Know the Change and Cancellation Rules Before Execution Begins

Once Campaign execution begins, major targeting changes are not permitted and ordinary Customer cancellation is generally unavailable.

The permitted temporary pause remains available subject to the rules described below.

Definitions

Contact Form Marketing / CFM

Contact Form Marketing (CFM) is the managed outreach service provided by ZAR Advertising through which agreed prospect research, message preparation and website contact-form outreach are performed according to the accepted campaign scope.

Campaign Request

A request submitted for ZAR Advertising to assess proposed Campaign requirements. A Campaign Request is not itself a Campaign and does not constitute payment, Campaign commencement or guaranteed acceptance.

Campaign

A CFM outreach project created after an accepted Campaign Request proceeds through the applicable Campaign setup/conversion process, with defined targeting, purchased Successful Submission volume and applicable services.

Customer Account / Organization

The Customer relationship through which authorized users access applicable Customer Portal services and Campaigns. More than one Campaign may exist under the same Customer Organization.

Customer Prospect Review

The Customer review opportunity provided after prospect research and before deeper enrichment and message preparation. Customers may Flag for Review and may Finish Review Early. Prospect Review is not individual approval of every prospect.

Purchased Submission Volume

The number of successful submissions included in the accepted campaign plan.

Successful Submission

A contact-form outreach message successfully submitted through the intended form and supported by the required campaign record and valid after-submission proof.

Skipped Prospect

A prospect for which the intended submission cannot reasonably be completed. Skipped prospects do not count toward purchased successful-submission volume.

Live Campaign Sheet

The detailed operational Campaign view made available after the applicable preparation stage, which may provide visibility into prepared prospects, subjects/messages, execution activity, delivery progress and applicable proof records. Customer Prospect Review occurs separately before the Live Campaign Sheet becomes the detailed operational view.

Campaign Execution

Begins when ZAR Advertising starts the agreed outreach submission process for the campaign.

Follow-Up Round

An additional manually executed contact-form outreach round performed for eligible campaign prospects according to the selected follow-up scope.

Submission Proof

The campaign evidence used to demonstrate that the relevant outreach submission was successfully completed according to the CFM process.

Campaign Requests & Acceptance

Customer Action

Submitting a Request a Campaign form is a request for Campaign assessment. It does not constitute Campaign acceptance, payment or Campaign commencement. The public Request a Campaign process is intended for first-time Customer intake. Once an email is associated with a Customer Portal account, future Campaign Requests must be submitted through the authenticated Customer Portal.

The customer may provide information relating to business and website details, offer or service, campaign objective, target market, geography, industry or niche, company characteristics, campaign volume, messaging approach, follow-up requirements, specialized research requirements, exclusions and other campaign requirements.

CFM Policy

ZAR Advertising reviews campaign requests before acceptance. The review may consider targeting feasibility, available prospect volume, specialized research requirements, campaign complexity, operational requirements, operator capacity and other factors relevant to successful campaign execution.

ZAR Advertising may request clarification, recommend changes or decline a campaign that cannot reasonably be supported.

Authorized acceptance of a first-time Campaign Request may create or safely reuse the Customer Organization, Customer identity and required Portal membership and may trigger account-access instructions.

Acceptance is not Campaign commencement: Acceptance does not take payment, create or start a Campaign, reserve a start date or begin execution.

If a Campaign Request is accepted and the Customer chooses to proceed, payment and onboarding take place before Campaign preparation begins. Campaign acceptance does not guarantee a particular start date.

Existing Customers may submit subsequent Campaign Requests through their Customer Portal. Each request may relate to a different Campaign brand, website, offer, targeting or messaging while remaining under the same Customer Organization. More than one Campaign may exist under a Customer Organization, and individual Campaigns may be at different lifecycle stages.

Customer Team Access

The current standard additional-user allowance is: CFM 2,500 — 1 additional Customer user; CFM 5,000 — 2 additional Customer users; CFM 10,000 — 3 additional Customer users. The primary Customer account holder does not consume an additional-user seat.

Where a Customer Organization has multiple paid Campaigns, the standard Organization team allowance is based on the highest applicable paid Campaign plan rather than adding plan allowances together. Active, invited and suspended additional memberships reserve seats; a removed membership does not.

A Campaign's purchased plan remains attached to that Campaign. There is no standard upgrade or downgrade operation on a running Campaign. Purchasing a separate later Campaign with a higher applicable plan may increase the Customer Organization's team allowance. A different allowance may apply where ZAR Advertising confirms a specific arrangement in writing.

Customer Responsibilities

Customer Action

The customer is responsible for providing information that is accurate and complete to the best of their knowledge and sufficient for ZAR Advertising to prepare and execute the campaign.

This may include:

  • company and website information
  • offer or service
  • target audience and geography
  • industry, niche and company characteristics
  • exclusions
  • messaging requirements
  • follow-up preferences
  • specialized research requirements
  • campaign-specific instructions
  • other information reasonably required for the campaign

The Customer should notify ZAR Advertising of significant changes before Campaign execution begins and should use the Customer Prospect Review process to raise genuine targeting concerns within the Campaign-specific review period.

Targeting Requirements

CFM Policy

Campaigns are executed according to the targeting agreed during campaign acceptance and preparation.

Targeting may include country, city or region, industry, company type, company size, ideal prospect characteristics, exclusions and other agreed criteria.

Data-quality clarification: Where company-size or similar information is based on publicly available or third-party information, it may be estimated, incomplete, outdated or unavailable. ZAR Advertising does not represent estimated company-size information as guaranteed factual data.

Prospect & Specialized Research

CFM prospect research may use agreed targeting criteria to identify businesses potentially suitable for the campaign.

Customers may request specialized research involving website platforms, CRM systems, email marketing platforms, advertising-platform indicators, ecommerce systems, software, technology characteristics or other specialized criteria.

Important Restriction

Specialized research is subject to feasibility review. ZAR Advertising does not guarantee that every requested technology, platform or characteristic can be accurately identified for every prospect.

More complex research requirements may increase research complexity, reduce the available prospect pool, affect campaign feasibility or timing, or require a different campaign scope or commercial arrangement.

Acceptance of a campaign does not mean every requested specialized characteristic will be identifiable for every prospect.

Customer Prospect Review

Customer Action

After the relevant prospect-research stage, ZAR Advertising makes the researched prospect set available through the Customer Portal for Prospect Review before deeper enrichment and unique-message preparation.

The standard Prospect Review period is currently 48 hours. However, the review duration is configurable and the actual Campaign-specific deadline shown in the Customer Portal controls that review.

Flag for Review: Customers may flag a prospect to raise a genuine targeting concern. A Customer flag is a request for ZAR review; it does not automatically exclude or reject the prospect. Authorized ZAR staff may resolve the record as appropriate, including Keep or Exclude.

The Customer may use Finish Review Early when they have completed their review. Finishing early does not constitute approval of every prospect and does not automatically start Campaign execution.

Expiry of the review period does not automatically start execution. It ends the Customer review opportunity for that published review stage and allows ZAR Advertising to proceed with the next applicable preparation decision.

Campaign Preparation

Before execution begins, ZAR Advertising may prepare prospect information, enrichment, contact URLs, Live Campaign Sheet records, follow-up structure, Campaign instructions and other materials required for execution.

As part of Campaign preparation, ZAR Advertising prepares or adapts a unique personalized message for each prospect using the agreed Campaign direction, offer, CTA and relevant available information about that business.

Unique per-prospect messaging does not mean unlimited research depth, unlimited custom data collection or unlimited message-revision cycles unless specifically included in the agreed Campaign scope.

After Prospect Review and applicable preparation, the Live Campaign Sheet may be made available as the detailed operational view showing prepared prospects, subjects/messages and Campaign activity. This visibility is not a second mandatory prospect-approval stage unless ZAR Advertising expressly agrees otherwise for a particular Campaign.

The precise preparation process may vary according to Campaign scope and requirements.

Campaign Execution

Campaign execution begins when ZAR Advertising starts the agreed contact-form outreach submission process. During manual execution, the operator uses the outreach message prepared for that specific prospect according to the Campaign process.

Important Restriction

Once execution begins, the campaign proceeds according to the agreed targeting and campaign scope. Fundamental targeting cannot then be changed, including material changes to target country, city or region, industry, company size, fundamental ideal-customer profile or other major targeting criteria.

This restriction exists because prospect research, enrichment, messaging preparation and operator scheduling may already have been completed or allocated to the campaign.

Minor operational clarifications that do not materially change the agreed targeting may still be reviewed by the campaign manager where feasible.

Successful & Skipped Submissions

Successful Submissions

Only successful submissions count toward the purchased campaign volume. A submission must have been successfully completed through the intended contact form and supported by the required campaign record and valid after-submission proof.

Skipped Prospects

A prospect may be skipped where the intended submission cannot reasonably be completed. Examples may include no usable contact form, technical failure, CAPTCHA or access restriction that cannot reasonably be completed, unsuitable submission conditions, form or website restrictions, or other operational circumstances preventing the intended submission.

Skipped prospects do not count toward the purchased campaign volume. Where appropriate, they may be replaced so the campaign can continue toward the agreed successful-submission volume.

The before screenshot provides context for the intended outreach. The after-submission evidence demonstrates that the submission was successfully completed.

Human-Operator Evidence Rule

CFM is manually executed by human operators. Because human execution is involved, the before-submission screenshot may occasionally be missed.

  • ZAR Advertising will not intentionally submit the same outreach again merely to recreate the missing before screenshot.
  • Unnecessary resubmission is avoided because it could create duplicate outreach.
  • A missed before screenshot does not by itself invalidate an otherwise valid successful submission.
Required to count: Valid after-submission proof is required for a submission to count toward the purchased successful-submission volume.

Proof May Include

Depending on the website and form, available evidence may include contact-form context, submitted message context, a confirmation message or confirmation state, relevant campaign record, timestamp information or other evidence reasonably demonstrating completion.

Proof exists to provide reasonable evidence of execution. Different websites and contact forms may produce different confirmation states.

Screenshot Retention

Available Campaign screenshots are retained for 30 days after Campaign completion. Available Campaign proof may be made accessible to the authorized Customer during that retention period.

After the retention period, screenshots may be deleted. This does not mean screenshots are guaranteed to be deleted at an exact moment on the 30th day.

Customers should retain copies of any proof they require for their own longer-term records.

Follow-Ups

Follow-ups are optional paid campaign add-ons. Customers may select one follow-up round, two follow-up rounds or up to three follow-up rounds.

A follow-up is another manually executed contact-form outreach round for eligible campaign prospects.

Follow-ups should be planned in relation to the original campaign message, previous outreach, prospect context, customer instructions, campaign objectives and operational scheduling.

Eligibility matters: The selected follow-up package applies across eligible prospects in the campaign. It does not guarantee that every original prospect will receive every later follow-up round.

A prospect may become ineligible for later follow-ups after a relevant reply, positive response, opt-out, no-contact instruction or another circumstance making further outreach inappropriate.

Successful Follow-Up submissions are tracked separately and do not increase the original purchased Successful Submission volume.

Follow-up timing may vary according to campaign requirements and operational conditions. No follow-up round guarantees a reply, lead, meeting, customer, sale or revenue.

Reply Management

The current standard plan structure is: CFM 2,500 — Reply Management not included; CFM 5,000 — Reply Management included; CFM 10,000 — Reply Management included together with human-reviewed WhatsApp notification for relevant replies under the applicable process.

Where Reply Management is included in the applicable Campaign plan or agreed Campaign scope, the Customer may provide instructions for handling relevant Campaign replies. ZAR Advertising may review relevant replies, identify replies requiring attention, forward replies according to the agreed process and apply Customer-provided reply-management instructions.

Human-reviewed notifications: WhatsApp is a Customer notification channel, not prospect outreach through WhatsApp. Notifications are human-reviewed, are not automatically sent for every incoming email or message, and should not be treated as guaranteed real-time alerts. A Campaign-specific written arrangement may modify the standard service scope.

Campaign Changes

Important Restriction

Major targeting changes are not permitted once campaign execution begins. This includes material changes to country, city or region, industry, company size, fundamental ideal-customer profile or other agreed criteria that would materially change the researched prospect pool.

A major change after execution begins may require completed research or preparation to be repeated and may conflict with operator capacity already allocated to the campaign.

Minor clarifications that do not materially alter the accepted Campaign scope may be reviewed where operationally feasible.

A running Campaign does not have a standard upgrade/downgrade operation. If the Customer wants a different Campaign plan or volume for separate future outreach, this may be handled through another Campaign Request or purchase rather than changing the running Campaign's plan.

Campaign Pause

Customer Action

The customer may request a temporary campaign pause of up to 14 calendar days, subject to the campaign remaining operationally feasible.

During an approved pause:

  • new submissions are paused
  • existing records remain documented
  • completed submissions remain completed
  • completed campaign volume is not reset
  • targeting is not reset
  • the campaign may resume after the pause
  • the original estimated timeline may change

Pause Beyond 14 Days

If the campaign remains paused beyond 14 calendar days, ZAR Advertising may close the campaign's active scheduling allocation.

Any later resumption may be subject to current operational capacity, campaign feasibility, availability of the remaining prospect pool and a revised scheduling arrangement.

A customer-requested pause does not automatically create a refund entitlement for work or capacity already allocated.

Cancellation

Important Restriction

Once Campaign execution begins, ordinary Customer cancellation is generally unavailable because research, preparation, Campaign resources and operator capacity have already been committed.

Any exception must be expressly confirmed by ZAR Advertising or apply where required by applicable law.

Before execution begins, any cancellation or change request will be considered according to the campaign's current stage and work already completed.

After execution begins, the customer may instead request the permitted temporary campaign pause described in these policies.

Campaign Completion

A campaign is complete when the agreed purchased successful-submission volume has been completed, subject to the accepted campaign scope and applicable campaign policies.

Only successful submissions supported by the required Campaign record and valid after-submission proof count toward purchased Campaign volume. Skipped prospects do not count toward completion.

Operational progress information shown through Live Campaign Data does not replace ZAR Advertising's authoritative classification of Successful and Skipped submissions. Successful Follow-Up submissions remain separately tracked and do not increase the original purchased Successful Submission volume.

Campaign completion should not be interpreted as a guaranteed calendar date. Any timeline provided by ZAR Advertising is an estimate.

Refund Policy

Refunds Are Based on Undelivered Purchased Volume

If ZAR Advertising cannot complete the purchased campaign volume, the customer pays for the successful submissions actually completed and the undelivered portion of the purchased submission volume is refunded on the applicable pro-rata basis.

ZAR Advertising Cannot Complete the Campaign

If ZAR Advertising determines that it cannot complete the remaining purchased campaign volume, the undelivered portion is handled according to the applicable pro-rata refund policy.

Paid Follow-Up Add-Ons

The same pro-rata principle applies if ZAR Advertising cannot complete an applicable paid follow-up scope. The undelivered follow-up portion is calculated using the per-submission value applicable to the follow-up add-on purchased for that campaign.

The follow-up per-submission value is derived from the price paid for the selected follow-up add-on and the follow-up submission volume included in that add-on. Normal prospect ineligibility caused by relevant replies, positive responses, opt-outs, no-contact instructions or other appropriate suppression does not require unnecessary further outreach merely to create volume.

Customer-Requested Pause

A customer-requested pause does not automatically create a refund entitlement merely because execution has temporarily stopped. Completed submissions remain completed, and resources or capacity already allocated are not reset by the pause.

Customer-Requested Major Targeting Change

Major targeting changes are not permitted once campaign execution begins. A request for a prohibited targeting change does not convert completed work or allocated campaign resources into undelivered campaign volume.

Campaign Capacity & Timelines

ZAR Advertising accepts campaigns according to operational capacity. CFM does not accept unlimited campaign volume where doing so would compromise campaign execution or available operator capacity.

After acceptance, ZAR Advertising may provide an estimated campaign timeline. Any such timeline is an estimate and not a guaranteed completion deadline.

Actual campaign timing may be affected by prospect availability, website conditions, CAPTCHA, technical issues, campaign complexity, specialized research, availability of suitable prospects, operator capacity, customer-requested pauses and other campaign-specific operational circumstances.

Campaign acceptance does not guarantee a specific start date or completion date.

Acceptable Use

ZAR Advertising may decline, pause or refuse to support a campaign that it reasonably determines cannot be provided within its operational requirements or applicable restrictions.

CFM should not knowingly be used for campaigns involving illegal activities, deceptive or fraudulent schemes, abusive or malicious activity, prohibited financial promotions, gambling-related offers where prohibited, prohibited adult sexual services or prohibited adult products, or other activities or categories that ZAR Advertising determines cannot reasonably be supported.

Campaign acceptance remains subject to review of the actual offer, targeting, geography and intended outreach.

Privacy & Data

Campaign information may include customer contact information, business information, campaign requirements, prospect information, messages, campaign records and submission proof.

This information may be used as reasonably necessary to review campaign requests, assess campaign feasibility, prepare accepted campaigns, execute campaign outreach, provide campaign visibility, communicate with customers, provide applicable campaign support and manage campaign records.

Privacy Policy →

Campaign Communications vs Marketing

Necessary campaign communication is separate from optional marketing communication. Providing an email address or other contact information for a campaign does not automatically constitute consent to receive unrelated marketing communications.

Where ZAR Advertising requests consent for optional marketing, that consent should be presented separately and remain optional.

Customer-Provided Information

Customer Action

The customer is responsible for ensuring that information supplied to ZAR Advertising can appropriately be provided and used for the intended campaign.

Customer-provided information may include prospect lists, business information, contact information, company data, core messaging or approved wording direction, marketing materials, targeting information and other supplied Campaign information.

Customers should not knowingly provide information they are not authorized to provide or use.

Where the customer supplies an existing prospect list or other campaign dataset, ZAR Advertising may review its suitability before using it within the campaign.

Intellectual Property & Content

Campaign execution may involve customer-provided offer information, messaging, brand information, marketing materials, prospect information and other campaign content.

ZAR Advertising may also prepare Campaign messages, research records, operational materials or other items required to execute the accepted Campaign. Where the Customer provides core messaging or Campaign direction, ZAR Advertising may adapt that material into per-prospect messaging as reasonably necessary to execute the accepted Campaign scope.

Any campaign-specific arrangements relating to the use of customer-provided content should be confirmed as part of the applicable campaign documentation where necessary.

Communications

Customers should keep the contact information provided to ZAR Advertising reasonably current during an active campaign.

Campaign-related communications may include Campaign-review questions, onboarding information, targeting clarification, Campaign progress, Prospect Review notifications, Customer Portal updates, operational questions, follow-up instructions, Reply Management instructions and Campaign completion information.

After payment and onboarding, accepted CFM customers are provided with a dedicated campaign manager and direct campaign contact details, which may include direct email and a WhatsApp messaging number.

WhatsApp is provided for messaging rather than telephone calls. No specific response-time guarantee is created by the availability of a dedicated campaign contact.

Policy Updates

ZAR Advertising may update published campaign policies as its services and operating processes develop.

For an accepted campaign, customers should have reasonable clarity about the version of the campaign policies applicable to that campaign.

Where a material policy question affects an active or accepted campaign, the customer may contact ZAR Advertising for clarification before proceeding.
